How Ingress handles account data, form submissions, workflow data, and service information.

Scope

This Privacy Policy explains how The Reasoning Company LLC collects, uses, discloses, and protects personal information in connection with Ingress, including our websites, hosted forms, workflow tools, analytics, support, and related services.

When a customer uses Ingress to collect form responses or operate workflows, we generally process that information on the customer's behalf. The customer is responsible for telling respondents how their information will be used and for honoring applicable privacy rights.

Information We Collect

We collect account information such as name, email address, organization, login details, billing status, workspace settings, and communications with us. We also process content you choose to submit, including forms, submissions, files, workflow configurations, prompts, and support requests.

We automatically collect service data such as device and browser details, IP address, authentication events, log data, product usage, diagnostics, and security events.

How We Use Information

We use information to provide, secure, maintain, and improve Ingress; authenticate users; operate workspaces; process submissions; deliver notifications; support integrations; provide customer support; prevent abuse; comply with law; and communicate about the service.

We may use aggregated or de-identified information to understand product performance, improve features, and report high-level usage trends.

Forms and Submissions

Form owners control the content of their forms, the information they request, who may access submissions, and how workflows route that information. If you submit information through a customer's form, that customer's privacy notices and settings may also apply.

Ingress processes submissions to store responses, generate analytics, run automations, send alerts, create artifacts, and provide the services selected by the workspace.

Cookies and Analytics

We use cookies and similar technologies to keep users signed in, remember preferences, protect sessions, understand product usage, and improve reliability. Some pages may use analytics tools to measure traffic, performance, and feature adoption.

You can control cookies through your browser settings, but disabling certain cookies may prevent account, security, or workspace features from working correctly.

How We Share Information

We share information with service providers that help us host, secure, analyze, bill, communicate, and support the service. We may also share information with integrations or third-party services that a workspace owner chooses to connect.

We may disclose information if required by law, to protect rights and safety, to investigate abuse or security issues, or in connection with a merger, financing, acquisition, or similar business transaction.

AI and Automation Providers

Some Ingress features may send prompts, form content, files, or other customer-selected data to AI or automation providers to generate forms, summaries, suggestions, classifications, or workflow actions. We use those providers to deliver the feature requested by the workspace.

Workspace administrators should review AI and integration settings to decide which data is appropriate to process through connected services.

Retention

We retain information for as long as needed to provide the service, maintain security, comply with legal obligations, resolve disputes, enforce agreements, and preserve backups. Workspace settings, deletion requests, subscription status, and separate agreements may affect retention periods.

Backup and log deletion may take additional time after information is removed from active systems.

Security

We use technical, administrative, and organizational safeguards designed to protect personal information. These safeguards include access controls, encryption in transit, monitoring, and operational security practices.

No method of storage or transmission is completely secure. If you believe your account or workspace has been compromised, contact us promptly.

Privacy Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to certain processing of personal information. You may also have the right to appeal a decision or lodge a complaint with a supervisory authority.

If your information was submitted to a customer's form, we may direct your request to that customer because they control the relevant workspace and submission data.

Children and International Transfers

Ingress is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can take appropriate steps.

We may process and store information in the United States and other countries where we or our providers operate. Those countries may have privacy laws different from where you live.
